Prephase Residential
A specification record that produces the documents the job needs.
Products are entered once, from the manufacturer's page, into fixed lists. The same record produces the packet the installer works from and the packet the client receives at handover.
Categories and sub-categories come from set lists. Model numbers, brands, and document links come from the manufacturer's page. Nothing is inferred and no field is filled in automatically.

Job Site Packet

Filtered to one room. Model, finish, quantity, and codes that open the manufacturer's install and spec sheets.
Closeout Packet
Goes to the client at handover
Every product in the house with its finish, warranty, manual, and care instructions. The document a homeowner opens two years later.
The packet is the record printed. The installer view is the same record on a phone, browsable by room and searchable across the whole job.
The record does not get copied or exported to produce this. It is the same data, read on a different screen.

The same column structure as the tool, as a spreadsheet. Categories and sub-categories are set. Everything else is filled in as decisions get made.
It works as a worksheet during the selections process and becomes the record when the choices are final.
Brand and finish are open text, because those lists live in the tool rather than the spreadsheet. Filling it out on a real job shows what a specification record actually needs.
