I spent ten years running residential construction projects. I now do capital project controls on a large hospital construction program.
Prephase started because of install crews. Too many times I watched a crew stand around waiting on information that was lost in email chains, text messages, or incomplete documentation. That kills a day and it kills morale.
So the first thing was getting the installer what they need without a phone call. Product, model, finish, where it goes, the spec and install sheets, and the design intent.
To do that the record has to be right. Everything is entered once, from the manufacturer's page, into set lists. Nothing is inferred and no field fills itself in.
The closeout packet came after. If the record is already complete, you may as well hand the client an index of everything in their house, with the manuals and warranties attached. Something they keep, and something they can pass on when they sell.
